As Solivus are scaling up fast, you will go on the journey with us, building the business together with a great sense of adventure! You will be the lynch pin of the business, assisting the CEO, wider Senior Leadership Team, and the Board with executive support.

We are looking for a motivated candidate who is an experienced Chief of Staff, Executive Assistant or Project Manager and who is very happy with a mix of duties, highly organised and a good decision maker.

You should have experience of working at pace, be quick thinking and be an excellent verbal and written communicator. This is a full-time position, being available between the hours of 9am-5pm to support the CEO and will require a mix of remote and office-based work. You will be expected to be working at the London office 2 to 3 days a week and overseas travel may be required occasionally. We currently work from the buzzing Sustainable Ventures workspace near Waterloo, London, and from time to time at a site in Westerham, Kent - a taxi ride from Sevenoaks or Oxstead stations. We are looking for an individual who thrives in a busy fast environment and can stay calm under pressure.

The role is suitable for someone who is ambitious who wishes to expand their career as the company scales. As you will be supporting the CEO you will have an understanding of how the businesses works in all departments and roles.

What you will be doing:

·       Inbox management for CEO - continually check CEO’s emails, proactively responding to queries on their behalf, flagging urgent emails, chasing actions/follow ups, pre-empting meetings to organise, understanding the roles and responsibilities in the business and forwarding emails to the appropriate department where necessary.

·       Diary management for CEO - proactively organise an extremely busy & challenging diary where meetings change constantly and need to be aligned with various directors and clients - ensure meetings are confirmed and followed through at speed

·       Senior Management board meetings; prepare board pack, record/prepare minutes actions from board meetings

·       Supporting the performance and delivery of the team

·       Ensuring staff appraisals take place

·       Organising staff training events

·       Checking in with staff to see how they are getting on with development goals and OKRs

·       Supporting staff to deliver their development goals and OKRs

·       Project managing staff appraisal and OKR system

·       Arranging international and domestic travel for the CEO and wider team (flights, hotels, cars etc.)

·       Arranging social events

·       Assisting in preparation and printing of presentations &proposals

·       Providing administrative assistance for the wider team

·       Updating CRM system with the CEOs activities

What we are looking for:

·       Advanced MS Office including Word, MS Outlook, Excel, PowerPoint, Teams, and OneNote

·       Experience with CRM systems beneficial but not essential.

·       Project Management skills

·       Good team player with a proactive attitude, takes initiative and has ability to work without supervision

·       Excellent communication skills at all levels

·       Ability to work calmly and efficiently in a pressurised environment and thrives in demanding situations

·       Ability to handle multiple tasks and competing priorities with tight deadlines

·       An approachable people person and excellent mediator
